HARBOURSIDE BOARD OF DIRECTORS MEETING

ROLL CALL – Paul Stokes, Bill Abbate, Dean Boyce, Gloria Sager (by phone)

Verification of meeting notice posted.

Correspondence – Bill Abbate. Letter from Jack Goodliff regarding security and parking decals. Letter from Pat Diorio recommending raising rental fees for guest cottage. Letter from B. Gettes about paint not matching in bldg. 4 catwalk. Letter from Ron Norman regarding slippery lobby tile in bldg. 4. Letter from Ron Norman regarding work being done in unit on Sat and Sun and parking of trucks and motorcycles.

Treasurer’s Report – Dean Boyce. Investment loss down to $4,000. Reserves down by $93,000 due to roof and generator costs. Assets $10,000. Generator reserve established. Condo 1 building systems negative $25,000. Condo 2 bldg. systems negative $4,000. Condo 3 bldg. systems negative $4,000.

Delinquencies – Condo fees $71,000 now. Assessments $32,000. Four delinquent owners are paying on maintenance fees.

Managers report – Patricia Plummer. Review of elevator survey contractors.

Orientation – no report (Jody Taylor is in the hospital)

Grounds – Mike Paolone. Waiting for underground pipe location prior to removal of black olive trees.

Lighting – Len Streeto. Starting work on up lighting and building entrance lights. Christmas lights coming down when palm tree up lighting is done. Recommend shuffleboard court lights be removed and underground wiring left in place. No funding for replacement. MOTION Bill Abate, Second Dean Boyce that Shuffleboard lights be removed and underground wiring remains per recommendation of lighting committee. Vote: All in favor

Social – May 25 social at Commodore Club 5 pm for Memorial Day.

Recreation – Bids on tennis court to extend fencing obtained.
Waiting for funding.

Insurance – no report

Harbor – Letter to boat owner regarding sunbathing and dog.

Finance – no report

Building Captains – Yvonne Gugel Bldg. 4. Water leak in isolated area. Paint at repaved area of catwalk should eventually match other paint. Door slots on door to meter room bent on 3rd floor. Dick Kublin bldg. 1. Good job by maintenance on catwalk cleaning. Mark Wilcox bldg. 3. Good job of tile and grout cleaning in lobby. Bldg. 2 to be done also. Bldg. 4 new coating on lobby tile for non slip.

Clubhouse – Exploratory work on kitchen update.

Security – Jack Goodliff. Sign up for committee in fall to review security.

OLD BUSINESS –

Generator – Dean Boyce. Contract let. $200,000 for generator and installation. $250,000 cost with permits. Clubhouse generator short wait time and 12 weeks wait for main one. Power will be available for commodore club also.

NEW BUSINESS –

Guest cottage rate increase recommended byRecreation Committee. Increase due to utility increases and replacements needed. Recommend $65 per night up from $50 for winter. Recommend $50 per night from $30 for summer. MOTION Bill

Abbate, As recommended by Recreation Committee increase winter guest cottage rates to $60 per night and summer to remain at $30. per night. Name of apartment to be Guest Cottage. Second. All in favor.

Rate increase per month for boaters. Finance |Comm. Recommended raising boaters fee. Board agreed. On attorney’s advice we cannot legally increase fees without permission of residents.

Rate increase per month for boaters using 30amp service. MOTION – Bill Abbate. Charge $10 per month additional (year round) to boaters using 30amp service effective October 2009. Second-DeanBoyce. Vote all in favor.

Transfer excess roof reserve money to offset deficit in All systems reserve Condo #1. MOTION – Dean Boyce. Transfer to Condo 1 $10,000 from interest reserve to building systems reserve and transfer $15,000 from roof reserve to building systems reserve. Second Bill Abbate. Vote all in favor.

Possible transfer of roof reserve from of roof reserve from Condo #1, 2, 3 to Clubhouse all systems. Table issue at this time.

Install ice machine at main clubhouse for hurricane preparedness as part of generator project. To be researched further.

Grout plugs Bldg. 4 repair. Letter from Swaysland Engineering on recommended repairs. To check Lindaminn contract regarding this work. Islandia to give estimate to fix current damage.

Remind all owners to have A/C units checked and running before leaving for extended periods.

Management Company. Four companies were interviewed. Representative from each building interviewed new company.

Need 60 day notice to Campbell. New company would provide 40 hr. manager, maintenance person and two cleaners. Rate is $10,000 less than current co. Custom Property Mgt. MOTION – Dean Boyce. Second-Bill Abbate. Hire Custom Property Mgt. and notify Campbell Mgt. New company to start 60 days after. Vote – All in favor.
